How the RentalOS Booking Flow Works - From Search to Confirmation

When a customer visits your RentalOS website, the first thing they see is the search widget on the landing page. They enter their pickup location, pickup date and time, and return date and time. The location field supports both text input and dropdown selection from your configured locations. Date fields use a native date-time picker that works smoothly on mobile and desktop.

After entering the details, the customer clicks the Search button and is taken to the car listing page showing all available cars that match their search criteria.

The car listing page shows all available cars with images, brand and model name, fuel type, transmission, seating capacity, daily price, and total price calculated based on the selected dates. Customers can filter cars by fuel type, transmission, or search by name or brand. Each car card has a Book Now button that takes the customer to the booking page.

The total price is automatically calculated based on the number of days between pickup and return. This gives the customer an accurate idea of the total cost before they proceed.

On the booking page, the customer enters their personal information including full name, phone number, email address, and pickup address if applicable. They then provide their government ID details including Aadhaar number and driving licence number. These details are required for verification purposes and are securely stored as part of the booking record.

The customer also selects their preferred payment method. RentalOS supports UPI, pay-at-pickup, and wallet payment options depending on your configuration.

Before confirming the booking, the customer sees a complete fare breakdown. This includes the daily rental rate multiplied by the number of days, the refundable security deposit amount clearly marked as refundable, any applicable taxes including GST if configured, delivery charges if the customer opted for doorstep delivery, and the total payable amount.

The refundable security deposit and its terms are clearly explained. The customer knows exactly what they will pay, what is refundable, and when the refund will be processed.

After reviewing the fare breakdown, the customer confirms the booking and completes the payment. Once the payment is successful, both the customer and the operator receive a confirmation notification. The booking appears in the operator admin dashboard with all details including customer information, ID details, car assigned, dates, and payment status.

The customer can also see their booking details on the website if they have a login account. The operator can manage the booking from the admin dashboard including marking it as confirmed, started, completed, or cancelled as needed.
